Recommendation Letters: Choosing Referees

From Tara Kuther, Ph.D.,

Nearly all applications to graduate school require at least 3 letters from individuals who can discuss your competencies in a coherent way and recommend that you be admitted to graduate school. Many students find that it is mot difficult to select persons to approach for letters of recommendation. Others aren't sure of who to approach -- or if they have a potential recommender at all. Regardless of your situation, plan ahead.

Who will you approach? Who will you consider? Remember the main criteron of the letter of recommendtion: It must provide a comprehensive and positive evaluation of your abilities and aptitude. It should not be surprising that letters from professors are highly valued by admissions committees. However, the best letters are written by faculty who know you, from whom you have taken muliple classes and/or have completed substantial projects and/or have recieved very positive evaluations.

Professors provide insight into your academic competencies and aptitude as well as personality characteristics that may contribute to your potential to succeed in graduate school, such as motivation, conscientiousness, and timeliness.

Some students include a letter from an employer. Letters from employers are useful if you are working in a field that is related to that which you intend to study. However, even a letter from an employer in an unrelated field can be useful to your application if he or she discusses skills and competencies that will contribute to your success in graduate school, such as the abilty to read and integrate information in order to draw conclusions, lead others, or carry out complex tasks in a timely and competent fashion. Essentially it's all about spin -- spinning the material so that it matches what committees are looking for.

An effective recommendation letter is writtn by someone who meets some of the following criteria:

* Is aware of your field of interest and the schools you are applying to.
* Is able to evaluate your performance in your field of interest.
* Is able to discuss your personal characteristics
* Is able to discuss your capacity to work with others
* Can discuss your leadership skills[/li
* Can evaluate your level of professionalism (e.g., punctuality, efficiency, assertivness)
* Can discuss your academic skills -- not simply experience, but evaluate your potential to succeed in graduate-level study
* Evaluates you positively relative to others
* Has some recognition and whose judgment is highly valued within the field.
* Is able to write a good reference letter (i.e., is literate).

Many students become nervous when they see this list. Remember that no one no one person will meet all of these criteria, so don't fret or feel bad. Instead, consider all of the people who you might approach and attempt to compose a balanced panel of reviewers. Seek individuals who will collectively fulfill as many of the above criteria as possible.

The biggest mistake most students make in the recommendation letter-phase of the graduate school application is to not think about who to approach and simply settle for whoever is available. This is not the time to settle, choose the easiest path, or be impulsive. Take the time and make the effort to consider all of the possiblities -- each professor you have had and all persons you have come into contact with (e.g., employers, internship supervisors, supervisors from settings in which you have volunteered). Don't rule any one out at first, just make a long list. After you have created an exhausted list, rule out those who you know will not give you a positive recommendation. The next step is to determine how many criteria those remaining on your list might fulfill. And move on from there to begin approaching potential referees.

Getting Good Letters of Recommendation; Experiences that Matter

From Tara Kuther, Ph.D.,

What are the experiences that will help you to earn excellent letters of recommendation from faculty?

Research Experiences
Generally speaking, research is the academic experience most highly valued by graduate admissions committees. Applicants who have research experience often are viewed as graduate school material because, at least in doctoral programs, research is at the heart of graduate school. Any old research experience, however, will not do. Your research experience must supervised, documented, and evaluated highly by a faculty member in your department who, in turn, writes a letter of recommendation on your behalf as part of your graduate school application.

Understand the benefits of getting involved in research and demonstrate an honest interest.

This means that you should seek experiences as a research assistant (even if they are unpaid!) and make research contacts with faculty.

Applied Experiences
Real world experiences are especially important for applied fields such as education and social work. Faculty who supervise your internships and other applied experiences will play a large role in graduate school admissions.

* Document your applied experiences.
* Seek additional contact with supervisors.
* Talk with faculty about your experiences. Seek constructive criticism on your performance.
* Be open to criticism.
* Seek to improve

As with research experiences, keep a record of your work and contact with faculty. Remember that your interactions at your internship site and with your supervisor are the basis for the evaluation that shapes your letter of recommendation.

Classroom Experiences
Interactions in the classroom are always important. They are the foundation of faculty-student relationships and can lead to research and applied experiences. Given that three letters are typically requested of graduate school applicants, at least one letter usually is from a faculty member whose contact with the student is primarily in class.

. Make a good impression in the classroom. Be a good student: be on time, miss few classes, be prepared, submit work on time, ask intelligent questions, participate in class discussions, seek advice on scholarly matters, and visit office hours (but don’t dominate). Track your ideas and consider their research potential. Talk with faculty about their research, your ideas, and solicit input.

There is no simple shortcut to getting excellent letters of recommendation. It takes hard work – throughout the college years. Seek these experiences early on and keep the ultimate goal of developing quality relationships with faculty in mind in order to obtain letters of recommendation that will move your application to the top of the pile.

Sample Letter of Recommendation MBA Applicant

To Whom It May Concern:

This letter is to serve as my formal recommendation for Andrew Fuller. Andrew has been my direct assistant for several years. He has been interested in obtaining an MBA degree for some time now and I feel that he would be an excellent candidate for your esteemed program.

During his time here, Andrew has consistently demonstrated a strong work ethic and a dedication to success. His efforts have produced high quality results time and time again. Last year, Andrew developed and successfully implemented a plan to streamline our production department. The plan was a major undertaking, requiring a great deal of thought and effort on Andrew’s behalf.

Though Andrew is my assistant, he is also in an unofficial leadership role.

Many of his co-workers seek his advice and support. Andrew is always there for them and is quite comfortable in the role. I feel his budding leadership abilities will become even more effective in a business school setting.

For these reasons, I highly recommend Andrew Fuller as a candidate for your MBA program. If you have any questions regarding Andrew or this recommendation, please contact me.

Reference Letter Sample for Graduate School from a Manager

To Whom it May Concern:

It is my honor to recommend John Doe for matriculation into the Graduate program at Rochester Institute. I have had the pleasure to know and work with John for the last six years. He he first worked with me as an intern in the software development organization at XYZ in Syracuse, NY. Following his graduation from Rochester Institute, I was fortunate enough to keep track of his career so that when the opportunity arose, I was able to recruit him to his current position at ABCD. The characteristics of John that attracted my attention then, and led me to hire him out of Company B last year, make it easy for me to give him an unqualified endorsement for graduate study.

John brings to all of his activities energy, enthusiasm, and commitment.
Sponsored Links

This is to be expected in any successful member of an entrepreneurial organization, and in this regard John fits in well. Be it in the parsing of intricate algorithms in a billing system, the crafting of an object hierarchy, or the establishment of best practices with an emerging technology, John consistently delivers high-quality software for our organization. This speaks to his overall intellect and ability to learn, attributes that will serve him well in graduate study.

While John is a relatively junior member of our organization as measured by tenure, he quickly established himself as a go-to person in the product domains in which he has worked. He has been ever-willing to work with members of our organization to share his knowledge and expertise, most notably as a presenter for presentations on product functions. He has a deep-rooted spirit of helpfulness that coupled with his quick grasp of subject matter speaks well to his potential as a teaching assistant or instructor.

What I find most engaging in John's character are his wide-ranging interests outside of software. Two of his abiding interests are game theory and economics. He can be quickly engaged in an in depth discussion, for instance, of the rationale behind EZ-Pass, the lack-of rationality of the financial markets, or the optimal approach for making a few quid on the super-bowl. John's broad range of interests speaks well to his potential as researcher, both in bringing a wide range of theory to the research at hand, as well as carrying forward new hypotheses of interest to researchers.

John Doe is a valued member of our organization whom we have learned we can rely on, regardless of the difficulty of the task to hand or the novelty of the challenge. His combination of intelligence, commitment, perseverance, creativity, and compassionate character will certainly make him a valuable member of any academic program. I encourage you to look favorably upon his application.

Sincerely,

George Smith
